Job Details
Duties will include:
Administration
To provide a professional and efficient general administrative service to the Trust’s head office in Hove. This will involve:
- Answer incoming calls, taking messages and routing calls to the correct people.
- Receive emails to the primary Trust contact email address, filtering spam and sales messages, sending acknowledgement replies and forwarding emails to correct individuals within the Trust to respond.
- Provide a generic administration service such as writing letters, completing minor research tasks and minor project-based work.
- Sort and distribute the Trust’s postal mail.
- Complete all Trust paper and electronic filing, with an aim to move towards a paper-free environment.
- Have access to and develop the Trust’s social media presence, including Twitter.
- Update the Trust’s website as required with new photographs, news stories, policies and other documentation requested.
Finance
To provide additional capacity to the Trust’s finance team, working under the direction of the Trust’s Head of Finance. This will involve:
- Undertake basic financial administrative work under the direction of the Trust’s Head of Finance, e.g. entering invoices, creating purchase orders and running reports.
- Answering credit control enquiries, e.g. confirming that payments have been made.
Working with the Chief Operating Officer
To work closely with the Trust’s Chief Operating Officer to provide additional administrative and research capacity. This will involve:
- In liaison with the PA to the CEO, have access to and create or modify diary entries as required.
- Create documents and reports for the Chief Operating Officer as required.
- Provide a generic administration service such as drafting or typing letters, completing minor research tasks and minor project-based work as directed.
- Under direction of the Chief Operating Officer, follow up enquiries as needed.
Other
- Assist with organising and facilitating senior level events, e.g. Trustee meetings.
- Support the wider Central team as required.
