Job Details
The role is a key part of our support services for both office and site staff. You will have excellent communication skills and be approachable and personable with a smart appearance.
General Admin:
- Meet, greet and provide refreshments for visitors. Answering phones and taking messages. Monitoring the ‘enquiries’ email and process in-coming and out-going post
- Maintain stationery cupboard, kitchen and refreshment supplies and ensure they are adequately stocked. Prepare meeting rooms for visitors / meetings
- Photocopying and scanning, arranging specialist printing and organising couriers for document delivery
- Assist with the production of Building Manuals, accessing the internet to obtain product data
- Issue Site Staff and Visitor ID cards, maintain employee driving licence and insurance schedules, and arrange parking waivers
- Monitor workwear and PPE stocks and distribution schedules
Union Square (this management software package includes our client and supplier databases, our correspondence and project drawings and data).
- Adding contacts, organisations and new enquiries
- Upload, print and manage drawings and documents
- Scan and upload various documents, incl. quotations, orders, payments and site documentation
Procurement:
- Issue Supplier Questionnaires and maintaining the supplier database
Marketing:
- Assist with creating marketing collateral for events, production of project data sheets and maintaining our presence on social media
