Job purpose: This post will be based at Dv8’s training centre in Brighton and will support the centre management and senior management teams to administrate a varied range of courses for young people, support the maintenance of company management systems and support on going administrative developments for the organisation.

Dv8 specialise in delivering innovative training for young people in creativity and media, all taught by industry professionals and designed to provide a real experience of working in a creative environment.

We recognise the strengths of learning through doing something that is challenging, inspiring and fun. The young people on our courses are supported to progress into work or further education following their time with us. All courses contain qualifications embedded within activities such as successfully releasing a music track and staging live performances and events. 

The young people attending our courses often face significant barriers to learning. Many find learning challenging, may have low basic skills levels, low confidence and/or chaotic personal lives. All learners on this programme will have failed to achieve academically in more formal settings and our aim is to support them to progress into further learning or employment following the course.

The Administrator will work within a small but busy office, supporting staff to ensure that information systems are maintained, communication within the organisation is effective, marketing and bookings information is up-to-date and that young people are supported with efficient administration systems for learner recruitment, course paperwork, and post-course tracking. The successful applicant will work towards a level 3 Apprenticeship in Business Administration and will be supported to achieve this qualification by a local training provider, an assessor and Dv8 management.

Key Duties Associated with the job role

  • Support Centre team to effectively maintain paperwork and information storing systems (ie filing and electronic records).
  • Support the marketing and promotion of Dv8 courses and facilities.
  • Administer receipts, invoices, learner monies & manage petty cash
  • Administer database of learners on programme.
  • Ensure effective communication is maintained at all times to staff, partners and stakeholders by telephone, e-mail and in writing.
  • Support the registration of learners and administration of learner entry.
  • Ensure project stationery resources are well stocked and maintained.
  • Support learner recruitment process for each course delivered.
  • Contribute to Quality Improvement Systems by collecting data on learner feedback, attendance, retention and progression amongst others.
  • Comply with, and make positive contribution to, all company policies, rules and procedures, current legislation and best practice for Safeguarding and Health &    Safety.
  • Answer the telephone and ensure all calls are dealt with appropriately
  • Communicate with learners as required
  • Administer staff training records and training bookings
  • Maintain policy, contract, funding and HR filing systems
  • Ensure that Management Information Systems are kept up-to-date and accurate
  • Ensure that all resources and equipment is security marked, in working order, and part of a maintained itinerary
  • Any other reasonable tasks as felt necessary to effectively support staff and the young people on programme.

Essential Criteria

  • Excellent written and spoken communication skills
  • Excellent IT Skills, particularly in Microsoft Office Word, Excel and PowerPoint, web navigation and email.
  • Ability to problem solve independently
  • Ability to use information systems
  • Ability to use own initiative and to manage demanding workload effectively
  • At least 5 GCSE’s A*-Cs including English and Maths
  • Ability to build positive relationships and communicate effectively with a 16-19 year old client group

Desirable Skills

  • Prior administrative experience
  • Knowledge of and interest in the creative industries
  • Previous experience of working with young people
  • Good knowledge of Apple Mac computers and related software
