Chailey Heritage Foundation is a pioneering charity providing education, care and transition planning for young people aged 3-25 with complex physical disabilities and health needs.

Our aim is to provide a stimulating and inclusive environment where all young people are given every opportunity to make progress towards fulfilment and develop life skills in preparation for adulthood.

As Purchase Ledger Assistant, the successful candidate will be responsible for the integrity, timeliness, and accuracy of all payments on behalf of the Foundation, working at all times within the confines of Chailey Heritage Foundation’s confidentiality of information policy, through the adherence to, and application of, the Foundation’s policies and procedures.

Main duties and responsibilities include, but are not restricted to:

·         Purchase Invoices:  the weekly end-to-end process utilising the Sage system

·         Set up and maintenance of Supplier records

·         Maintaining and reconciling E-Commerce Platform Sites like PayPal, Amazon and eBay across the Foundation

·         Maintaining Foundation credit cards across site, including distribution of statements and analysis forms.

·         Process Petty Cash claims ensuring that relevant authorization and coding has taken place

·         Distribute pocket money to the young people in the residencies, ensuring funds are audited on a regular basis

·         Administer Long Service Awards

·         Assist in counting, reconciliation and accounting for funds raised, as and when required.

·         Support the Foundation with year-end accruals, ensuring spreadsheets are updated and accurate, and the subsequent posting of     relevant journals. Provide training when required.

·         Maintain CapEx records in consultation with the Estates Manager and the Financial Accountant, including reconciliation of the CapEx report with the Sage200 nominal ledger.
