Business Administration Apprentice
This diverse role requires a highly organised, efficient, & flexible individual who is both process and customer focused and able to produce all work to high standard & tight deadlines. Provide comprehensive administrative support to the full scope of curriculum.
Working week: 09:00am to 5:00pm (Mon to Thurs). 09:00am to 4:30pm (Fri). 30-minute lunch break per day.
Total hours per week: 37.00
Expected duration: 18 months Possible start date: 26 Nov 2020
The post holder will report to a Senior Administrator on a day-to-day basis and will be accountable for the duties below. This list is not exhaustive and may vary from time to time in order that the accountabilities may be met.
Supporting the management of the general administrative functions of the Curriculum areas including:
- Prioritisation of own tasks and working to deadlines, within the context of supporting curriculum staff and cross college departments
- Undertake tasks including responding to and writing e-mails, letters, making telephone calls, dealing with queries, communicating with students, staff members, external stakeholders, members of the public
- Organise and schedule meetings, minute taking and writing up of actions as required
- Collate information, produce documents, spreadsheets and reports for a range of purposes as required
- Support the process of purchase ordering, the receipt of goods, processing of orders, invoices, and cash advances
- Support the maintenance of stationery requirements of the curriculum areas
- Keep up to date with new processes, procedures, software etc.
- Maintain secure and well organised curriculum areas records and files in accordance with agreed protocols
- Ensure compliance with College policies and procedures by teams
Supporting the maintenance of key curriculum processes in accordance with College procedures and system including:
- Collection and recording of student assessments and completed work if appropriate noting that some areas have moved to electronic submission
- Recording staff absence cover arrangements where applicable
- Supporting administrative processes for the curriculum areas such as parents evening, examination communications. Assisting with the timetabling of courses and liaising with department manager
- Review sessional contracts against timetabling systems /claim forms, agree remedial action with Senior Administrator to ensure accuracy
- In liaison with Senior Administrator/department managers follow up on student absence e.g. reviewing registers with follow-up action related to issuing absence letters and organising meetings with parents
- Supporting the organisation of disciplinary and attendance absence meetings
- Supporting the central organisation and arrangements of WEX
- Supporting the central organisation and arrangements for maths and English
- Supporting meetings, including organising meetings, collating and disseminating information, minute taking, writing actions as appropriate
Providing a high level of customer service to students, staff, parents, members of the public, external partners, and the other College departments:
- Provide a high level of customer service to students, staff, parents, employers, external partners, outside organisations and members of the public
- Manage departmental correspondence including personal, written, telephone and e-mail queries and following up as required
- Act as the point of contact between the Curriculum areas or centre and other Cross-College departments and support areas
- Ensuring own knowledge of course offer is up to date
- Support the maintenance and monitoring of the production of course information and prospectus/website entries, including proof reading
- Attend open evenings/days, end of year events and enrolment sessions and other events as required (N.B. this may include some evening and weekend work)
