Repairs Administrator

This is a great opportunity to join our small, friendly Repairs Team.

THE ROLE

  1. Constant monitoring and dealing with emails which come into the Repairs Team Mailbox on a 24/7 basis from around the world (and therefore a higher volume each morning and in particular, Mondays) – with AOG requests having top priority and requiring urgent action.
  2. Evaluate ITR (Instruct To Repair) requests received mainly from Returns Department and respond accordingly.  These can include components under warranty and repair management.
  3. Source and contact an appropriate repair shop – typically derived from the component history; fixed companies or the Internet.
  4. Raise component repair orders to approved vendor.
  5. Expedite repair orders which involves a great deal of progress chasing.
  6. For ad hoc repair enquiries, to provide the quotation to the customer in a timely manner.
  7. Issue and actively follow up repair quotations sent to customers, with the aim of securing approval within the agreed time frame.
  8. Maintain clear and accurate records and input into the Aerotron TAPS computer system.
  9. Raise and process alternative orders for BER (Beyond Economic Repair) orders – typically the customer will either pay for a replacement unit or they will provide a replacement SV unit.

THE PERSON

  • General level of education to GCSE standard (five passes at grades A-C including mathematics and English) or equivalent work experience.
  • Either two years’ experience in an administrative role OR full training offered to a school / college leaver.
  • Highly organised and process-oriented.
  • Work accurately, with good attention to detail.
  • Persistence and determination to overcome obstacles and resolve problems.
  • Comfortable working to time constraints and coping with changing priorities in a busy environment.
  • Excellent communication skills - verbal, written, and listening.
  • Able to build productive working relationships.
  • Proficient IT/computer skills and competent user of standard packages.
  • Capacity to learn new information, processes and/or systems and apply them appropriately.
  • Self motivated and confident.
  • Team player and willing to work flexibly and assist colleagues as required.
