Administrator - 30 hours per week

This is an excellent opportunity for an enthusiastic and committed person to join support to our multi-disciplinary team.

Main duties of the job

The successful applicant will join our well-established administrative team carrying out a range of tasks. You will have experience in taking meeting minutes and the ability to cover for the receptionists during absences. Excellent communication skills together with the ability to work on your own initiative and prioritise your workload are essential.

Detailed job description and main responsibilities
  1. Ensure that patients, other members of the public, external stakeholders and colleagues within the Trust receive a courteous and supportive response to a range of queries and requests for information.
  2. Provide administrative support and cover for the Personal Assistant, Receptionists and other colleagues as directed by the centre management team.
  3. To be responsible for effective, accurate and timely management of the electronic patient record system (SystmOne) including registering patients and booking appointments.

Person specification

Qualifications and/or Professional Registration
Essential criteria
  • Good level of education - 5 GCSE's at Grade C or above or equivalent (including English Language)
  • RSA 1 typing or equivalent knowledge gained through experience


Experience
Essential criteria
  • Experience of using computerised database packages
  • Previous experience of activities that involve receiving queries from others providing information, directions or taking and passing on messages
  • At least 2 years experience of working in an office environment
  • Experience of dealing with confidential and sensitive issues and awareness of the need for discretion
  • Contributing to the development of administrative or office procedures
  • Arranging meetings including co-ordinating diaries, booking meeting rooms and sending out agendas and papers.
  • Able to work as an effective team player and work autonomously to manage own workload to meet deadlines.


Desirable criteria
  • Experience of working in a healthcare / NHS setting

  • Ability to work flexibly to meet the needs of the service
  • Able to write clear, accurate meeting minutes or notes
  • A good working knowledge of IT systems and software, including Microsoft Word, Teams and Outlook
  • Ability to deal with stressful situations within a supportive environment


Desirable criteria
  • Knowledge of medical terminology
