Job Details
As receptionist / administrator you will be responsible for phoning and emailing clients as well as greeting them in person. You will be using several IT systems to type correspondence, communicate internally with colleagues and submit documents to statutory bodies such as HMRC. You will work alongside an experienced receptionist / administrator.
As a receptionist / administrator, you will:
- Often be the initial point of contact between a client (or prospective new client) and the practice. You will need to be confident communicating appropriately in person, by phone and by email or letter
- You will be required to open post and respond to incoming emails and pass them on to the appropriate colleagues and to take messages or pass phone calls through to colleagues with accurate detail
- You will be responsible for finalising letters and documents to send out to clients and for ensuring that the appropriate responses are received in a timely manner in order that documents can be filed with the appropriate authorities by the deadlines
- You will keep the client database up to date with current addresses, email addresses, etc, and notify the relevant authorities of any changes
- You will be part of a team of around 10 but you will be responsible for managing your own time and workflow to ensure that deadlines are met
- You will be responsible for chasing clients for information or payment where this is not provided in a timely manner
