Job overview

An opportunity has arisen to the join the e-rostering team at Sussex Community NHS Foundation Trust for a period of 6 Months.

The Primary responsibility of the role is to perform system administration tasks as required to deliver and maintain a Trust wide e-Rostering System, as well as contribute to the development and delivery of an effective and ongoing training program to new and existing users across the Trust.

The post holder will be responsible for maintaining a high level of accuracy, in order to maintain data cleanliness and continuity within the e-rostering system. They will maintain a range of reports that support the trusts management objectives and facilitate any testing for routine and exceptional upgrades as well as the day-to-day administration of the e-rostering system.

There will be an ongoing requirement to investigate and resolve user problems, providing a comprehensive helpdesk to all, escalating any system issues to the service provider when necessary.

Main duties of the job

The postholder will be providing support to system users regarding all aspects of the e-rostering systems, including user accounts administration and payroll queries.

Supporting the maintenance of the e-rostering system, supporting the testing of planned upgrades and maintain user accounts and system rights.

Investigating, reporting and resolving faults and issues as first line support, escalating to the e-Rostering Team lead as arequired.

Dealing with issues quickly as they arise, using creativity to find workarounds and solutions to problems. Escalate issues to team lead in a timely manager, ensuring good record keeping is adhered to for audit purposes.

Detailed job description and main responsibilities
Guide trust managers on procedures for e-Rostering, and support them in the correct use of the e-Rostering system, including processes for Staff Direct.

Deal efficiently and effectively with staff that have queries on e-rostering. This will include verbal, written and electronic media.

Deal tactfully with staff and managers on issues relating to pay processed through the e-Rostering system.

Liaise with Managers regarding e-rostering, ensuring all relevant paperwork is produced and processed, support the checking rosters are set up and administered correctly.

work as a member of a team in a supportive, co-operative manner; sharing information and liaising with others to provide support and cover to colleagues when required.

Assist Managers and staff in the use and understanding of the e-Rostering System via the helpdesk email and phone systems.

To Provide first and second line support to system users regarding all aspects of the software, including user accounts, payroll queries, contractual changes and roster policy.

Maintain database, contribute to the testing of planned upgrades and maintain user accounts and system rights.

Investigation, reporting and resolution of faults and issues, escalating to line manager as required.

Advising on the most appropriate tools and reports for system users, and how to access these.

Develop and provide a knowledge Centre for the user of the system.

To liaise with other team members to ensure a consistent service approach is maintained.

Deal with issues quickly as they arise, using creativity to find workarounds and solutions to problems where the system might not quite meet their needs. Escalate issues to their line manager in a timely manner ensuring good record keeping is adhered to for audit purposes.

Person specification

Qualifications
Essential criteria
  • NVQ Level 3 or equivalent qualification in business administration.
  • School leaving qualification (GCSE or equivalent) in maths and English language or able to demonstrate equivalent competence.


Experience
Essential criteria
  • Working in an office environment where a large and diverse range of callers and visitors are received
  • Dealing directly with customers, patients and members of the public


Desirable criteria
  • Contributing to the development of administrative or office procedures
  • Previous experience of using an elecronic Rostering System


Skills
Essential criteria
  • Able to communicate and explain administrative procedures and issues in a clear, concise way to a diverse range of people.
  • Able to respond in a kind and sensitive way to people who may be upset or worried about their health, rota or pay.


Desirable criteria
  • Advanced skills in using Microsoft Office software to create attractive and well laid-out documents and presentations. Able to use Microsoft Outlook for diary, workload and email management.
