An exciting opportunity has arisen for the position of part time Team secretary to work in our busy Eastbourne PDCA office, which oversees the smoothing running of the Partnership Domiciliary Care Agency whom provide support to Adults with Learning Disabilities within 2 buildings locally.

We are seeking to recruit highly motivated and well organised individual to work as part of a friendly and supportive team. The main duties of this role will be to undertake clerical and administrative duties working alongside the Team Administrate to support the Management Team. Confidentiality will need to be maintained at all times.

Main duties of the job

You should possess a good telephone manner, communicate clearly and be computer literate including knowledge of Microsoft Word, Outlook and Excel. The ability to work effectively as part of a team is essential and experience of working in an often busy and demanding office environment would be desirable.

Detailed job description and main responsibilities
Key responsibilities will include:
  • Archiving - medical records and financial records, in line with Trust policy and guidelines.
  • Filing - creating new and maintaining existing filing systems.
  • Completing financial expenditure: Excel recording.
  • Scanning and photocopying- to maintain and support filing systems.
  • Booking rooms and inputting into electronic dairies, setting up skype meetings.
  • Answering telephone calls and taking messages.
  • Sending e mails on behalf of the management team
  • Attend various meetings and take the minutes of meetings.

Person specification

Qualifications
Essential criteria
  • NVQ 3 or equivalent
  • RSA 3 or equivalent experience and evidence of further practical experience or equivalent
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Knowledge/Experience
Essential criteria
  • Proven experience of a range of secretarial procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of maintaining office systems
  • Experience of working as part of a team
