Job overview

We are seeking to recruit a committed and knowledgeable Team Secretary to join our Dementia and Older Persons Mental Health Team based in Haywards Heath. You will provide an administrative service to the Intensive Support part of the team which provides support and treatment to people and their families with dementia. The team is multi disciplinary and very supportive with daily zoning meetings which you will be part of . You will be joining a friendly, supportive and creative multi-disciplinary team, dedicated to providing a high-quality service.

You will be part of the team and will be expected to use your initiative and plan your own time.

The team is based in Haywards Heath and is close to the railway station.

Covid-19 full vaccination may be a condition of employment for this role, unless an exemption applies. The successful applicant may have contact with vulnerable service users and we will therefore seek proof of being fully vaccinated during the recruitment process.

Main duties of the job

As a the Team Administrator in our team you will support to the members of the team by taking calls from patients, carers , other NHS and social care professionals , drafting letters , organising the diary, completing the roster, ordering equipment and undertaking data collection . As the team members frequently go out on visits you would be the consistent person in the office , ensuring that we know where the team members are and taking messages for them.

Our team currently covers the whole of North West Sussex.

The main duties are taking calls from patients, carers, other professionals and colleagues for the team. You will be able to answer some queries and take down accurate messages for the team members. You will also collect data regarding referrals and care delivered .

You will draft letters for the team and gather information as required on various subjects.

You will ensure that the whereabouts of the team members is tracked for their safety.

You will monitor use of equipment and order supplies.

Knowledge/Experience
Essential criteria
  • Proven experience of a range of secretarial procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of maintaining office systems
