Volunteer Receptionist Role

LOCATION:

Eastbourne (Faraday House)

HOURS:

Various Hours (minimum of 3 hours)

REPORTING TO:

Receptionist & Business Centre Coordinator

 

PURPOSE OF THE POST:

To provide a professional and efficient reception service at Faraday House by ensuring all clients and visitors feel welcome and valued when they contact Age UK East Sussex and/or visit Faraday House.

Administration

  1. Answering the charity’s main switchboard in a professional, pleasant, and timely manner, including; accurately recording client information correctly and efficiently in line with CRM procedures and forwarding calls to the appropriate member of staff/department.  Some of these enquiries can be complex in nature due to the vulnerability of the client and will need to be dealt with in an empathetic manner.
  2. Pass client leads to relevant departments.  
  3. To actively support and promote the wider charity.  
  4. To ensure all Faraday House visitors and clients are greeted and welcomed in a professional manner as soon as they arrive.  
  5. To be always smart and presentable.  
  6. Ensure the accurate recording of visitor details, issuing badges and maintaining the visitor register for security and Fire Safety. Contacting the individual or business the visitors are meeting, in a polite and professional manner.  
  7. Handling post - receiving, date stamping, sorting, and recording incoming post and managing outgoing mail for Faraday House/Age UK East Sussex. Sorting and distributing or filing post for tenants into mailboxes. Stamping/franking mail, collecting and taking post/parcels to the post office or sorting office.  
  8. Support clients on the day of their event to ensure all requirements are met.  
  9. Keep and maintain accurate records for all room hire bookings.  

OTHER:

  1. To undertake relevant training as required by the organisation and agreed with your line manager.
  2. To be an Ambassador for the Charity, positively always promoting the organisation and its services.
