Job overview

Nationally, mental health services are facing the most significant transformation of recent times, during an exceptional period of time in history. Significant growth and transformation of the mental health workforce is needed to meet the requirements of the NHS Long Term Plan (LTP).

In response to this, we have developed a dedicated workforce planning team working to support both Sussex Partnership Foundation Trust (SPFT) and the wider Integrated Care System (ICS) to deliver the workforce challenge. The team is led by the Head of Mental Health Workforce Planning, supported by the Workforce Intelligence and Reporting Lead and Workforce Lead(s) together with this role, the Workforce Planning Team Administrator.

Main duties of the job

As the Workforce Planning Team Administrator, you will provide a high quality, pro-active and comprehensive administrative service to support the delivery of the key objectives of the Mental Health Workforce Planning service in accordance with relevant policies, procedures and guidelines. In addition, you will provide support to other teams we work closely with e.g., our electronic rostering (eRostering) and electronic staff record (ESR) team.

In our team, you will work with senior colleagues to develop our administrative functions to ensure we work in a really efficient and effective way, right from the start. You'll also help to agree the team vision, aims and objectives and have opportunities to develop both professionally and personally.

Several important elements of this role will include team diary management, preparation of papers, updating spreadsheets and relevant local IT systems/databases but most importantly, acting as the first point of contact for enquiries, service users and external contacts.

REQUIREMENTS

We need our Workforce Planning Team Administrator to have a 'can do' approach and attitude - the 'glue' that holds our team together!

Working as a proactive team member, who regularly contributes to the teams' shared values, vision and goals is an essential requirement to be successful in this role. You'll be someone who values other people, is kind and familiar with the challenges of working in the NHS.

You'll also need a good level of general education, combined with the ability to learn, adapt and apply new knowledge and information quickly and efficiently.

Your work will offer you the opportunity to work from home and/or remotely in agreement with your line manager, but there is a requirement for you to have the ability to travel as required.

Ideally, we would like you to work full time but are willing to work flexibly with you in relation hours and patterns of work.

Qualifications
Essential criteria
  • NVQ 3 in Business & Administration of evidence of equivalent practical experience
  • RSA 3 or equivalent experience and evidence of further practical experience
  • Good standard of secondary education; GCSE (or equivalent) at grade C or above

Knowledge/Experience
Essential criteria
  • Significant experience of a range of administrative procedures
  • Significant experience of working in an administrative capacity
  • Experience of maintaining office systems
  • Significant experience of maintaining detailed database and spreadsheet information
  • Experience of generating own correspondence
  • Able to work well as part of a team and on an independent basis
