JOB VACANCY: SALES ADMINISTRATOR
Cova Security Gates, a specialist UK based manufacturer of perimeter security equipment, is looking for a sales administrator to assist and support the Sales/Commercial operations in all respect of office administration.
On a day-to-day basis, you will be using our company Microsoft Dynamics CRM database, to support the team in logging all incoming and outgoing enquiries and telephone conversations to ensure there is a written log of all points of contact from potential and existing clients. Ensure all new sales enquiries are logged and assigned to an owner and to ensure this information is followed up. Run weekly reports and collate relevant information for Sales meetings and presentations.
Key responsibilities:
The Sales Administrator is responsible for all new Sales enquiries being logged, which will come from phone calls, in bound emails and website enquiries. Once trained on CRM the role will undertake the issuing of work orders to key personnel across the business, and when necessary issuing variation orders and providing general sales office support.
Main job specific duties
- Using the Company’s CRM database to ensure all information is entered in a consistent and accurate manner
- Following training, run sales reports and ad-hoc information from the CRM database when required
- Take and distribute minutes of all sales meetings and to check actions are followed up by team members.
- Shadow the Sales team by attending Design Team ‘Start Up’ meetings where necessary, to understand the business process on the new order received and understand in full specific client detail relevant to the project
- Assist in the updating, compiling and administration of sales information as and when required (ad-hoc)
- General administration and office duties, such as answering the phone and transferring calls around the business, responding to emails, calling clients for updates on quotations sent out by the Sales team and updating CRM with the client and/or contractors response.
- Putting reminder tasks on CRM to remind to call again further down the line if no response is received or the project is still in progress
- In time, compiling and submit sales quotations and works orders, maintaining associated document logs with the support of the Sales Director who will approve prior to submitting to the client
General duties
- Maintain compliance to company procedures, such as Health and Safety; Environmental; Quality and Legal Compliance for all areas
- Display a proactive, can-do attitude within the organisation, with a culture of right first time and ownership of problems
- Recommend resources and training, to ensure that the organisation can meet future demands from its customers
- Clearly and concisely communicate with other stakeholder(s) regarding quotations and projects
- Willingly carry out other duties deemed appropriate by the company.
