Job Details

Brighton College is seeking to appoint a Co-Curricular Administrator (Drama) on a full-time or part-time basis, to start in mid-August 2023. This role will provide day-to-day administrative support and assistance to facilitate the running of the co-curriculum.

Co-curricular responsibilities: 
Oversee all aspects of administration in relation to the wider co-curriculum:

  • Oversee all administration tasks in relation to Trips and Activities Weeks, including transport management, catering bookings and parent portal administration.
  • Manage front of house and the ticketing for all drama productions using the College’s online ticket platform.
  • Assist the Director of Drama with administration for drama productions.
  • Assist the Head of Academic Drama with administration for all theatre trips and external theatre workshops.
  • Assist with the scheduling of future events for the drama department, coordinating with the other co-curricular departments in termly planning process.
  • Assist in setting up and overseeing our online platform that manages all co-curricular scheduling, SOCs.
  • Providing assistance for service programmes where appropriate.
  • Draft letters to parents and collate permission slips via the parent portal for a range of co-curricular events.
  • Assist the drama department and Assistant Headmaster (Co-curricular) with budget management, liaising with accounts when required.
  • Assist the Assistant Headmaster (Co-curricular), Director of Drama and Head of Academic Drama with meeting coordination and minute taking when required.
  • The candidate would be given training on the use of the parent portal, the College’s online system that allows parents to pay and book onto trips amongst other tools such as SOCs and iSAMs.

Wider responsibilities: 
Liaising with HR to:

  • Ensure that all necessary pre-employment checks are in place before external teachers begin work.
  • Ensure that external teachers fulfil their safeguarding obligations, including annual completion of documentation and training.
  • Provide up-to-date lists of external teachers and their start and leaving dates.
  • Establish consistency of processes (e.g. pupil recharges to finance) for Performing Arts teams (Dance, Drama and Music), working together with other administrators in these teams.
  • Communicate professionally and effectively with College staff, parents and pupils in person, by telephone and via email, enacting and responding to all communications in a timely manner.
  • Maintain professional and effective working relationships with College staff, particularly the Facilities, Maintenance, Security, Catering and Porterage teams. 

Safeguarding responsibilities:

  • This role will involve daily contact with pupils and you will be engaging in regulated activity relevant to children.
  • All staff and volunteers have a responsibility for promoting and safeguarding the welfare of children and young persons for whom you are responsible and with whom you come into contact.

Hours of work:

  • The preferred hours of work are 8.30am to 5.00pm, Monday to Friday inclusive (with a one-hour unpaid lunch break), working term-time (35 weeks), plus a number of agreed additional weeks. 
  • We are open to candidates who wish to work part-time hours and either term-time (35 weeks) or term-time plus a number of additional weeks. To be agreed during the interview.

Holidays:

  • 20 days (pro rata) in addition to bank holidays.
  • Annual leave should be taken during the school holidays.
